  • Overview

    PRIMARY FUNCTIONS:  Research and enter required data with efficiency and accuracy.  Professional communication, written and/or verbal with vendors, Area Office Managers, peers and other company employees.  Maintain confidentiality at all times.

    Responsibilities

    ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties as assigned.

    • Set up and maintain vendor and employee records in our payment software.
    • Void checks in our payment software.
    • Set up ACH vendors in Wells Fargo’s EDD system.
    • Research vendor payments in Wells Fargo’s CCER system.
    • Research and respond to vendors and plants regarding inquiries.
    • Research credit memos and vendor invoices.
    • Request and maintain W-9 forms and new employee forms.
    • Research vendor statements.
    • Forward emailed vendor invoices into the AP system.
    • Open, sort and date stamp U.S. mail.
    • Match up vendor checks with back up.
    • Fill in for AP Processors when they are on vacation. This entails scanning, verifying and coding of invoices in the AP system.
    • Responsible to compile all necessary information for 1099 processing at year end.
    • Assist the Supervisor as needed.
    • Contact vendors to remove late fees.
    • Update out of date AP forms.

    Qualifications

    Education:  High School Diploma or the equivalent.

     

    Experience:  Minimum of 2 years in an accounts payable environment.

     

    Confidentiality:  Sensitivity to confidential matters.

     

    Skills:  Requires excellent communication, organization and interpersonal skills, project management, and problem-solving skills with impeccable multi-tasking abilities.

     

    Other Skills:  Ability to learn firm-specific programs and software.  Microsoft Office is a plus.  Friendly and professional demeanor.

    This is largely a sedentary role, however some filing is required. This would require the ability to lift files, open filing cabinets and bend and stand as necessary.
