  • Overview


    The HR Clerk will be responsible for providing administrative and HR assistance and guidance for their assigned site.  The HR Clerk will be responsible for ensuring that the needs of the sites are being met and work to appropriate his/her time accordingly in coordination with site management.


    Key responsibilities include but are not limited to:

    • Accuracy of all paperwork produced.
    • Assist supervision/management as needed.
    • Answer door, phone calls, and mailing assistance.
    • Follow company policies, guidelines and work instructions.
    • Maintain professional relationship with the carriers and customers.
    • Professional and courteous to team members.


    Functions may vary dependent on areas of operation. 



    Include the following. Other duties as assigned.


    • Data entry of HR information into various HR tools and software.
    • Hourly payroll verification
    • Monitor and coordinate paid vs. unpaid leave to ensure that it is processes and administered in accordance with applicable company policies and/or legislation. Including, but not limited to personal days, vacation, bereavement, military, substance abuse leave, etc.
    • Establish and maintain HR staff records and reports
    • Receive drug testing results from labs and hospitals
    • Assist associates with benefits enrollment during open enrollment, new hire sign-up, and when associates have life changing events.
    • Conduct 401k and Pension meetings prior to the 1 year mark with the employees
    • Maintain vacation spreadsheet and insurance eligibility
    • Complete employment and wage verifications.
    • Time clock programming and badge creation.
    • Ensure shift differential increases are submitted.



    • Complete all new hire job postings internal and external
    • Screen employment applications and schedule interviews for all levels of employees
    • Work with site management to set staffing requirements and retain staffing levels
    • Prepares orientation packets and conducts orientation
    • Facilitate personnel tests
    • Complete new hire drug screen, background, I-9, and payroll information.
    • Complete E-verify on all new hire employees
    • Enter in new hire information, address changes and W-4’s into Lawson.


    Labor Management 

    • Assist the operations of the facility supervisory personnel to achieve prescribed objectives. 
    • Enter terminations into Lawson
    • Complete FMLA paperwork and monitor employee start and return to work dates.


    Safety, Housekeeping, Security

    • Complete OSHA logs, updated logs ongoing and run dart reports.
    • Ensure workers compensation claims reported, filed, and processed.
    • Monitor workers compensation leave and progress.
    • Safety glasses, seat belts, and ID badges must be worn if associates are on forklifts.
    • Required to attend Ammonia Training Class yearly.
    • Follow posted security procedures at all times while in the building.
    • Maintain a clean, neat and orderly work/lunch room area. 



    • Maintain a professional manner in appearance and communications at all times.
    • Participate in staff and/or customer meetings if required.
    • Develop PC/tablet skills to perform any e-mailing, reports, label preparation, order release, driver sign-out, inventory checks and/or any type of PC/tablet function necessary for that specific area.


    Responsibility and Authority

    • Initiate action to prevent the occurrence of any non-conformities relating to product, process, and quality systems.
    • Identify and record any issues relating to product, processes and/or quality.
    • Initiate, recommend, or provide solutions through appropriate channels.
    • Verify the implementation of solutions.


    Primary Interactions

    • Interfaces with departmental and cross-functional peers and managers to provide instruction, communicate procedures, and to resolve problems. 



    • Ensure accurate and timely preparation, processing, distribution, and retention of all necessary reports and records regarding facility operations.

    Education:                               High School Degree preferred

    Experience:                             Minimum of one (1) year of progressively responsible human resources experience.  Must have the ability to provide guidance, work direction and to motivate others to obtain improved performance.  Effective verbal and written communication skills.
