    The Office Manager will be responsible for providing Customer Service assistance and guidance for the assigned site. The Customer Service department handles all customer requests, order entry, and daily reporting, and works very closely with all departments to ensure customer requests are handled in a timely and professional manner. The main focus is building and streamlining the flow of information between departments in an effort to service the customers more efficiently and create a high level of customer satisfaction.


    Key responsibilities include but are not limited to:

    • Accuracy of all paperwork produced.
    • Follow all customer requirements.
    • Filing.
    • Follow company policies, guidelines, and work instructions.
    • Coordinate all administrative functions for the facility.
    • Maintain professional relationships with the carriers and customers. The requirements that an individual must absolutely possess to perform the essential functions of the job:
    • Capable of typing.
    • Have good arithmetic skills.
    • Capable of following verbal and written instructions.
    • Understand and follow company policy as stated in the employee handbook.
    • Pleasant and proper phone etiquette.


    DUTIES AND RESPONSIBILITIES: Include the following. Other duties as assigned.


    • Maintain a professional manner in appearance and communications at all times.
    • Participate in staff and/or customer meetings as required.
    • Develop PC skills to perform e-mailing, reports, label preparation, and order release.Safety, Housekeeping, Security
    • Follow posted security procedures at all times while in the building.
    • Maintain a clean, neat, and orderly office area.Responsibility and Authority
    • Initial customer set up. Responsible for gathering information from customer in order to initiate proper set up.
      • Add profiles, billing information, and warehouse information needed for set up.
    • Manage Customer Service Representatives
    • Facilitate special projects
    • Investigate and process claims
    • Accurate and timely customer invoicing/billing
    • Accurate and timely payroll processing
    • Approve invoices in AX
    • Update monthly spreadsheets as requested by General Manager or Plant Superintendent
    • Customer collections and accounts receivable
    • Administration of phone system
    • Assist General Manager with planning and execution of employee recognition and social activities
    • Facilitate any customer change or request in procedures.


    QUALIFICATION REQUIREMENTS: The knowledge, skills, and abilities listed below are representative of the qualifications required to successfully perform each essential duty. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.

    Education:                               4 Year College Degree preferred but not required

    Experience:                             5+ years in Customer Service Management preferred.

    -Excellent communication skills, written and oral.

    -Experience in AS400, Word, Excel and PowerPoint preferred.

    -Experience with warehouse paperwork and Lotus Notes preferred.

    -Broad range of management skills is required with particular emphasis on leadership, supervision, motivation, communication, and planning.

    • May require physical effort associated with using the computer to access information, or occasional standing, walking, lifting needed to carry out everyday activities.
